Read any Tolkien fic in the past year you think deserves more recognition? Well, one way to do that is by nominating that story for a 2009 Middle Earth Fan Fiction award! Every year, OSA members are well represented and I think this year should be no exception.

This year the nomination period begins May 22.

Greetings from MEFA-land! The Middle-earth Fanfiction Awards will shortly begin accepting nominations for the 2009 awards. Nominations will begin on May 22, and we would love to have you put forward your favorite drabbles, stories, poetry, essays, and any other variation of fanfic you have encountered.


WHO CAN NOMINATE?

Any member of the MEFAwards Yahoo group may nominate up to twenty pieces. (Self-nominations are allowed.) If you are not already a member, please go ahead and join there (http://groups.yahoo.com/group/MEFAwards/) so we can get you set up with an account at our awards website. Once you join the Yahoo group and we make sure that you don't already have another account on our site, you will be sent a password to use at our website.

If you are already a member but have lost your password, please try to have the site send it to you automatically, using the "Forgotten password?" link on our homepage. You can also email mefasupport@mefawards.net for assistance. Please do not try to create a second account.


WHAT CAN BE NOMINATED?

We accept pretty much every variety of fanfic you can imagine. Our eligibility requirements are fairly straightforward:

1. The piece has to be fanfic. And it has to be based on Tolkien's world. (Or a crossover between Tolkien and some other universe.)

2. The piece has to be available at an eligible URL. This basically means you don't have to join a site to view the piece, and (if the piece is spread across more than one page) there's a way to get to the subsequent pages from a single URL.

3. This must be the first time the piece has been nominated. We do allow pieces that competed as WIPs to compete again when they're finished, but other than that - it's one bite at the apple for each story, each essay, each whatever. Check out our full list of pieces nominated in previous

4. The piece has to meet our rating requirements. (See http://www.mefawards.net/MEFA2009/index.php?page=FAQratingsguide) When in doubt, we have a ratings panel that can evaluate an author's story and decide whether the story in question is ineligible on this count. Eligible stories must meet our ratings guidelines for General, Teen, or Mature.

There are of course special cases. If you are in doubt, email mefasupport@mefawards.net before nominating and I will tell you if the piece is eligible.


WHEN CAN YOU NOMINATE?

Nominations will run May 22 through the end of June. All MEFA days begin based on GMT, so nominations will begin at 12:01 AM GMT on May 22 and end at 11:59 PM GMT on June 30.

If your story is nominated, you will have until July 7 to completely finish up the nomination process. This involves emailing your liaison to say you want to compete; filling out a fairly detailed form on our website; and working with your liaison to resolve any problems caught by your liaison. WHERE CAN YOU NOMINATE?

Nominations are submitted via our website, http://www.mefawards.net/MEFA2009/ . When you log in you will see links to nominate a story by someone other than yourself or to self-nominate your own story. (If you don't see these links it means you aren't allowed to nominate, which usually means you're not a member of the MEFAwards group. If you think this is an error, please email me at mefasupport@mefawards.net).

You can also browse other peoples' nominations by clicking the "Browse All Nominated Stories," and you may start reviewing them as soon as they are nominated. There's one piece of advice I hear over and over from veteran MEFA participants: it really is never too early to get started, and the less stressful MEFA voting will be. Both members of MEFAwards and non-members who have their stories nominated can vote.

A quick caveat - until May 22, our site will be in "testing" mode. If you log in before then, you will be able to nominate stories or enter reviews but they will be erased when the site goes "live" on May 22. You'll know we're accepting real nominations when the pink bar at the top of the page labelled "TEST" disappears.

The Middle-earth Fanfiction Awards nomination season is well underway, and we want your help! The MEFAs are only as good as the participation we receive. There are several ways you can get involved.



----- NOMINATING STORIES----

Nominations are underway, but there is still time for you to nominate your own favorites. You may nominate pieces until June 30.

To nominate a piece you must join the Yahoo group MEFAwards (http://groups.yahoo.com/group/MEFAwards/). You will then be sent a short list of questions that will help us set up your account and make sure you aren't already on our website under a different name. Within a day or two of answering these questions, you will be given nominating privileges at our website. How long this takes depends on how quickly you respond to the questions, but you should try to join the MEFAwards group by June 25 to assure that you get your password in time to nominate stories.

If you are new to the MEFAs you will be sent a password and log-in information to our website, www.mefawards.net/MEFA2009 . If you were previously a member (for instance, if you already had your own stories nominated this year) your same password will still work, but now you will see links to nominate stories when you log in. If you do not receive your password or cannot nominate within 2-3 days, please email mefasupport-at-mefawards-dot-net for help.

----- VOTING FOR STORIES -----

All members are also encouraged to start voting for their favorite pieces as soon as possible. While you have several months, veteran MEFA members will tell you it is never too early to start voting - voting early and *keeping at it* is the best way to assumre you review as many stories as you'd like to. You can vote either if you join the MEFAwards Yahoo group or if your own stories are nominated.

To vote, log in to our website www.mefawards.net/MEFA2009/ . Once logged in, click the "Stories" link at the top of the page. This will bring you to a list of all the nominated stories. Click on the title to open the webpage where the story is posted and read it; then come back to our website and click the "Enter New Review" link to the right of the story information. This will bring you to a form where you can enter a review of the story. The longer your review, the more points it gives the story, up to a maximum of ten. This review will also be visible to the author and other site visitors so it can serve as a recommendation.

Right now nominations are coming in, so some of the stories listed may not end up competing. For others, the information displayed on our site may not be 100% correct, as it has not been approved by award volunteers. You can be sure a story will compete and that the information is correct when you see the status "Nomination Finalized"
over on the right side of the screen. Other statuses will tell you how far along the story is in the nomination process, so you can judge which stories you want to read first.

----- HELPING IN OTHER WAYS -----

While these are the two most important ways to get involved, there are other ways to help out, too. You can make banners and buttons for nominated authors, reviewers who reach their reviewing goals, and the eventual winners. You can make announcements like this one at your favorite Tolkien-centric hangout. You can be a good MEFA citizen by keeping an eye out for typos and errors in our FAQs, and letting us know so we can fix them. And there are always smaller projects we need help with throughout the year, which we will post about at the MEFAwards Yahoo group as they come up. Nominations for the 2009 Middle-earth Fanfiction Awards closed last night (June 30). There were over 750 pieces nominated this year - quite a showing!. Thanks for all your help, whether you nominated pieces, talked about the awards with your friends, agreed to let your own story be nominated, or helped out in any other capacity.

I encourage everyone to look over the final list of potentially hard-to-reach authors. These authors have had at least one piece nominated, and haven't begun their forms or let their liaisons know they want to compete. Some were nominated as recently as last night, and they may have started the nomination process since I put together this list; but there is the chance that they don't know they were nominated. If you know these authors, have them get in touch with me

Also, you might check the list of all finalized nominations. Authors *must* finish the nomination process by July 7. (Please note, the MEFA day is based on GMT.) If you think you have done everything you need to do and your story isn't listed here, contact your liaison to double-check that you're really done.

For pieces nominated by someone else (i.e. not self-nominations), your nomination is not finished until you:

--- email your liaison to accept the nomination.
--- complete the story form at our website and give it the status "Author satisfied with form."
--- note that you are finished with the form, either emailing your liaison again or making a note in the "Nomination Notes" part of the form. (This can be done in the same email you accept the nomination, if you like.)

For self-nominations you must:

--- complete the story form at our website and give it the status "Author satisfied with form."
-- note that you are finished with the form, either emailing your liaison or noting it on the form itself.

In both cases, the form will also need to be approved by your liaison and myself, and any errors spotted will need to be corrected.

Finally, you may be wondering when you'll know what category a piece ended up in. Authors are not contacted about this directly, but are welcome to watch the sites where these announcements are made. Check ballots (preliminary categorizations) will be posted at the MEFAwards Yahoo group and the mefas LJ community in the last week of July. Final categorizations will appear on the MEFA website itself in August.

In the meantime, you are welcome (and encouraged!) to start voting. Any nominated author and any member of the MEFAwards Yahoo group may vote for the nominated stories at

Obviously the categorization aren't available yet, but you can go ahead and start reading stories about your favorite character, set in your favorite location, or just start sorting through the list of nominations to see what you might want to read. Voting will continue until December 31, which may seem ages away. But every veteran MEFA voter will tell
you: the key to getting the most out of being a MEFA reviewer is to start early, and keep at it! Don't let December catch you unawares. Smile

Every year, the Middle-earth Fanfiction Awards (MEFAs) posts a preliminary version of our categorization before it's displayed at our website. This allows authors times to catch any errors in how their stories are categorized. We call this part of the awards "check ballots."

The 2009 check ballots are now available at the Yahoo group and LJ where awards announcements are made. Authors are encouraged to make sure their stories are placed appropriately. You can see the first version of these check ballots at:

If you see an error with how your stories are categorized, please comment at either place. You will need to comment by July 31, at which point the categorization will become "final." After that, we will only move WIPs if they are completed; no other categorization changes will be made.

As some of you may know, the first of the reviews written for the 2009 Middle-earth Fanfiction Awards (MEFAs) were displayed at our website beginning September 1. I'd like to welcome everyone but particularly any authors competing in the awards to see these reviews.

What is displayed is only the tip of the iceberg. Members can still write reviews through December 31, so I hope we'll be able to show off lots more reviews over the coming months. You'll also only see what is known in MEFA jargon as "final" reviews. Our members can give a review one of three statuses, and many hold off making their reviews final until they're sure they don't want to change anything about them. What this means is, there are reviews already written, which will be displayed on our website over the next few months. Not to mention the reviews that are yet to be written. So there should be more reviews displayed through the end of December. Feel free to check back often. But also feel free to look at what's already posted - there are over 900 reviews for a variety of authors already available.

To read reviews for your story:

1. Log in to www.mefawards.net/MEFA2009/ 2. Click the link "Review Reviews Left By Others For Your Stories."

And that's it! This will show you a list of reviews left for all of your stories. If you prefer you can see all the reviews for a certain story together, by clicking on the story ID #. (This will show just the reviews for that story.)

You can also find the reviews for other peoples' stories as well. To do this:

1. Log in to www.mefawards.net/MEFA2009/ 2. Click the "Read All Reviews" links.

From here you can tell it just to display reviews for a certain author, or for stories in a certain category or sub-category. Or you may browse all the reviews displayed. (Earlier reviews are near the start of the list.)

You may want to reply to these reviews. Unlike some archives we don't give you a way to reply on the website and have it appear next to the reviews you've received. However, we will gladly forward an email to the reviewer with your reply if you'd like. Just click the "reply to reviewer" link beside any review for one of your stories, for instructions on how to email a reply to a reviewer. Your email address will be shown to the reviewer, but you will not be told theirs unless they choose to reply back to you.

Finally, you may see some reviews that you think are breaking some MEFA guideline. For instance, they may need a spoiler warning added or they may have quotes that aren't properly blocked off. (All quotes should be bracketed off between [square quotes] so the website knows not to count
them.) If you see anything you think needs correcting, please email me at mefasupport-at-mefawards-dot-net. Please include the review "header,"
which gives information about the story and who reviewed it, and please explain what you think needs fixing. If I and the other admins agree with your concern, we'll make the necessary change.

It's not too late to start reviewing yourself. Nominated authors can vote for any stories in this year's competition (except their own, obviously). Anyone else can participate by joining the MEFAwards Yahoo group. If you have forgotten your password or need other help joining up, please check out this FAQ:
